Rental Terms & Conditions

By reserving the Historic 1899 Depot, you agree to the following terms and conditions:

Reservation & Payment

  • Full payment is required at the time of booking to secure your reservation date
  • Reservations are confirmed only upon receipt of payment
  • Cancellations made less than 30 days prior to the event date are non-refundable
  • The renter assumes full responsibility for the venue during the reserved time period

Event Hours

  • All events must conclude by 11:00 PM
  • Cleanup must be completed and the premises vacated by 11:30 PM
  • Early access for setup may be arranged in advance with venue management

Venue Rules

Prohibited Activities

  1. No smoking inside the premises - Smoking is only permitted in designated outdoor areas
  2. No illegal substances of any kind are permitted on the property
  3. No open flames or candles without prior approval from venue management
  4. No tape, nails, tacks, or adhesives on walls, ceilings, or woodwork

Facility Care

  1. Leave the hall as you found it - The venue must be returned to its original condition
  • All trash must be bagged and placed in designated receptacles
  • Tables and chairs must be wiped down and returned to storage locations
  • Floors must be swept/cleaned of debris
  • Kitchen area must be cleaned, with all dishes and equipment washed and put away
  • All personal belongings and decorations must be removed
  1. Damages - The renter is financially responsible for any damage to the building, furnishings, or equipment that occurs during the rental period
  2. Decorations - All decorations must be free-standing or use approved hanging methods only

Guest Conduct

  • The renter is responsible for the conduct of all guests and attendees
  • Excessive noise that disturbs neighboring properties is not permitted
  • The venue management reserves the right to end events early if rules are violated

Alcohol Policy

  • If alcohol is served, it must be done responsibly and in compliance with Ohio state laws
  • The renter is responsible for ensuring no alcohol is served to minors
  • The venue is not responsible for any incidents related to alcohol consumption

Parking & Access

  • Parking is available in the designated Buckeye Park parking areas
  • Vehicles must not block access roads or emergency lanes
  • The venue is not responsible for any theft or damage to vehicles

Liability

  • The renter agrees to indemnify and hold harmless the Bluffton Ohio Historical Society, Village of Bluffton, and all affiliated parties from any claims, damages, or liabilities arising from the use of the premises
  • The venue is not responsible for lost, stolen, or damaged personal property
  • Renters are encouraged to obtain special event insurance for their gathering
